I spend over $500 a month on AI tools. These five are $187 of that: the base everything else sits on. I tried more than 100 tools over the past year, and only these stayed.
This is not a list. It is five tools plus the exact first steps for each one, for when your goal is to build AI systems rather than read about AI.
The rule is one sentence: a subscription is worth it if you can name the specific job it replaced or made possible.
The short version
- Claude Max for vibe coding, AI agents, data analysis and long content. I pay $100 a month. Start on Pro at $20.
- ChatGPT Plus for fast research, images and Custom GPTs. $20 a month.
- Wispr Flow for voice instead of the keyboard. $15 a month, or $12 billed annually.
- Apify for pulling data out of Instagram, TikTok and Google Maps with no code. $29 a month.
- Windsor.ai to connect Instagram, LinkedIn, Google Analytics and Meta Ads in one place. $23 a month.
These five together cost $187 a month. The entry version is $107. The smallest you can start with is $55, if you keep Apify and Windsor.ai on their free plans at first.
The five tools and your first steps
Claude Max: the tool for building AI systems
What it is for. Vibe coding: sites, apps and automations without a developer. Building AI agents. Data analysis. Long content like a course outline, a sales page, a script. It is the widest tool on this list. One subscription where you write code, analyse a CSV and draft a script.
How to start. Four steps, in order.
- Build your first small tool with Claude Code or Cowork: a pricing calculator, a form, a simple page. No coding required.
- Open a Project per area of your work and upload your brand docs: voice, price list, audience.
- Connect the connectors (Google Drive, Gmail, Notion) and let Claude work on your real files.
- Throw data in (CSV, screenshot, report) and ask for a decision, not a summary.
Price. Pro is $20 a month, or $17 billed annually. Max 5x is $100. Max 20x is $200.
ChatGPT Plus: the fast daily tool
What it is for. Fast research, images, voice brainstorming, and automating repeat work with Custom GPTs. For when you need the answer now rather than the best answer.
How to start. Four steps for week one.
- Build one Custom GPT for your most repeated task: captions, reply templates, a proposal format.
- Generate your content images: pick one style, keep the same prompt structure for all of them.
- Run Deep Research to map competitors before you launch anything new.
- Brainstorm in voice mode while walking, then ask for the ideas back as a list.
Price. Plus is $20 a month. Pro is $200 a month.
Wispr Flow: when you stop typing and start talking
What it is for. Replacing the keyboard. You talk and the text appears in whatever window is open: Claude, ChatGPT, a DM, an email, Notion.
Why this matters most for beginners. AI output quality is tied directly to how much context went in. Typing, you give three lines. Speaking, you give three paragraphs. Same model, completely different result. On top of that, 40 words a minute becomes 150.
How to start. Three steps for week one.
- Use it for one week only to talk to AI, not to write emails.
- When you prompt, speak for 60 seconds: goal, audience, constraint, one example.
- Use command mode to edit by voice: "cut this to two sentences."
Price. Free gives 2,000 words a week on desktop. Pro is $15 a month, or $12 billed annually. There is a 14 day free trial.
Apify: social data, without code
What it is for. Pulling data out of Instagram, TikTok, Google Maps and LinkedIn. Profiles, reel stats, comments, business listings. Everything that takes three hours to collect by hand.
How to start. Four steps, not one line of code.
- Grab a ready made actor from Apify Store: Instagram Profile Scraper, TikTok Scraper, Google Maps Scraper.
- Start with 100 rows, check the data quality, and only then scale up.
- Hand the CSV to Claude: "find the pattern and tell me which three topics are working."
- Rerun it monthly so you see movement, not a single snapshot.
Price. Free gives $5 in credits a month. Starter is $29. Scale is $199. Unused credits do not roll over.
Windsor.ai: connects the platforms Claude cannot reach
What it is for. Claude and ChatGPT do not connect directly to Instagram, LinkedIn, Google Analytics or Meta Ads. Windsor.ai does: 350+ sources in one place, pushed out to Google Sheets, Looker Studio, or straight into AI. It is the bridge that gives AI your real numbers.
How to start. Four steps in one evening.
- Connect just two sources at first: Instagram and Google Analytics.
- Push the data into Google Sheets.
- Connect that sheet to Claude and ask every Friday: what actually worked this week?
- Keep three numbers in front of you: reach, profile visits, saves.
Price. A 30 day free trial, then a forever free plan with one source. Basic is $23 a month, or $19 annually. Standard is $118, or $99 annually.
The system, not the tools
01 How the five become one system
Context goes in by voice through Wispr Flow. Building and analysing happen in Claude. Fast work happens in ChatGPT. Data comes in through Apify and Windsor.ai. Results come out as numbers, not as a feeling.
An analogy: Wispr Flow is the hands, Claude is the brain, ChatGPT is the reflex, Apify and Windsor.ai are the eyes. Buying one of them does not give you a system.
02 If you only do one thing
Take Wispr Flow and Claude Pro: $35 a month. Those two do not change your speed, they change what you are able to build at all. The other three get added when the problem shows up.
03 Week one: six steps
Quick recap
- The rule: a subscription is worth it if you can name the specific job it replaced.
- These five cost $187 a month. Entry version $107. Smallest version $55.
- If you only do one thing: Wispr Flow plus Claude Pro, $35 a month.
- Claude builds, ChatGPT accelerates, Wispr Flow fills it with context, Apify and Windsor.ai bring the real numbers.✦ HUVA ACADEMY
