Stop Running Your Life on Repeat: Build Your First AI Team

AM Ani Mkrtchyan 6 min read Updated October 2026

My agent answers my Instagram messages. My AI team works on my content. Each project has its own agent, and I even have an AI co-founder. My son's school logistics, our family menu and the grocery run? Agents handle those too.

My job is simpler: I decide what work they get, what result I want and what needs to change. You don't need to code for this, and you don't need 30 agents on day one. You need one repeat task and one well briefed agent.

Part 1

What an AI agent actually does

A chat forgets you every time. You explain who you are, what you want, which tone. An agent works like a new hire: you hand over a job description, house rules and the right documents once, then it does the work and you review the output.

Here is what your AI team can take off your plate:

  • Inbox. Answers clients with your prices, your tone and your links.
  • Content. Ideas, scripts and captions in your voice.
  • Projects. Tracks deadlines and tells you what is stuck.
  • Family. School tasks, the weekly menu, the shopping list.
  • Co-founder. Pushes back on your ideas before the market does.
Part 2

6 steps to your first AI team

Step 1
List what you repeat

For one week, note every task you do more than once. Or skip the diary and let the first prompt below build the list for you.

Step 2
Pick one task to start

The most frequent and the least risky. A shopping list is a great first hire. Your finances are not.

Step 3
Write the job description

Role, goal, rules, what it never does, when it must ask you first. This is the agent's brain. The second prompt interviews you and writes it.

Step 4
Give it knowledge

Create a dedicated Claude Project. Paste the job description into its instructions and upload what it needs to know: school calendar, foods your family loves, your price list, common client questions.

Step 5
Connect your tools

With connectors, the agent can read your calendar, email and notes. Start read only: it drafts, you send.

Step 6
Stay the decision maker

Once a week, review the output, mark the mistakes and update the rules. When an agent runs a full week without corrections, hire the next one.

Part 3

5 prompts to copy today

Replace everything in square brackets with your own details, then run each prompt in a fresh chat or inside your agent's project.

01Find your repeat tasks

Repeat Task Finder
Role: You are my operations analyst.
Goal: Find the repeat tasks in my life that an AI agent could take over.
Context: Here is a typical week of mine (work, family, home, personal): [describe your week].
Output format:
1) Every task I repeat at least weekly: how often, minutes it takes, judgment needed (low / medium / high), what happens if it goes wrong
2) Top 3 tasks to hand to an AI agent first: frequent, low judgment, low risk
Ask up to 5 clarifying questions if my week is too vague.
You walk away with your first three agent hires.

02Write the agent job description

Agent Job Description Builder
Role: You design AI agents for non-technical people.
Goal: Write standing instructions for one agent that does this task: [task].
Context: Interview me one question at a time until you know the result I want, the tone, the rules, what it must never do, when it must ask me before acting, and the reply format.
Output format: full instructions in second person ("You are..."), with sections Role, Goal, Context, Rules, Never do, Ask me when, Output format. Under 400 words.
Paste the result into your Claude Project instructions.

03Family operations agent

Family Operations Manager
Role: You are my Family Operations Manager.
Goal: Every Sunday, prepare the family week so I only approve, not plan.
Context: Use the files I gave you: school schedule, our food preferences, grocery budget.
Output format:
1) School week: deadlines, events, things to buy or sign, with dates
2) Weekly menu: 7 simple dinners we actually like, reusing leftovers
3) Shopping list grouped by store section, with quantities
4) A short list of things only I can decide
Rules: never buy or pay for anything, never message the school or teachers. You draft, I approve.
Upload the school calendar and the meals your family actually eats, not the ones you wish they ate.

04Inbox agent

Inbox Agent
Role: You answer Instagram messages for my business [name].
Goal: Reply fast and correctly so I only handle what truly needs me.
Context: Use only the facts in the attached files: services, prices, FAQ, links.
Output format: reply in the language the person writes in. Warm, short, max 3 sentences.
Rules: if the question is not covered in the files, or it is a complaint, a custom deal or a refund, say I will reply personally and flag it for me. Never invent prices or promises.
The cleaner your files, the fewer mistakes it makes.

05Weekly review

Weekly Agent Coach
Role: You are my weekly agent coach.
Goal: Make my agent better every week.
Context: This week's outputs from my agent and my notes on what went wrong: [paste].
Output format:
1) Patterns in the mistakes
2) Only the changed lines of its instructions
3) One sentence explaining each change
This is how your agent gets sharper every single week.

Is your first agent ready?

Quick summary

  • An agent is a new hire: brief it once, then review the work.
  • Start with one frequent, low risk task.
  • Job description + knowledge + connectors = a working agent.
  • Decisions, money and passwords stay with you.
